How to Fix Auto Reply in Microsoft® Outlook?
An additional feature included in the Microsoft Outlook application is the Auto Reply functionality which helps the user in replying automatically to the messages that are received by the user while engaged in some other work. But sometimes this feature does not work on the Microsoft Outlook application. If the Out of Office Assistant functionality is disabled on Microsoft Outlook, then the Auto Reply does not work since the Out of Office Assistant helps the user in configuring the Auto Reply. The Auto Reply can also be configured based upon some rules. If the rules prevent the Auto Reply feature, then also the functionality does not work. The Out of Office Assistant can be enabled only if Microsoft Outlook is connected to the Microsoft Exchange Server. So the issues with the server also create problems with the feature and prevents it from working.
Discussed below are some methods used to fix those problems:
- Enable the Out of Office Assistant
- Change the Microsoft Exchange Server settings
- Resolve the issues with the rules
Enable the Out of Office Assistant
The Microsoft Outlook Auto Reply feature does not work if the Out of Office Assistant is not enabled. In order to enable the feature, the user should open the Microsoft Outlook application window. Then select 'Tools' option from the top menu. Now from the drop down list of options select the 'Out of Office Assistant'. The window will be opened and the user should select 'I am currently out of the office' option at the top of the window. Also the user can compose the reply message at the same window. Click 'OK' and exit the wizard.
Change the Microsoft Exchange Server Settings
If the mailbox is configured for alternate or additional recipients, then the Auto Reply may not work. For enabling the option upon Microsoft Outlook even if the additional mailbox recipient is present, the user should configure the Microsoft Exchange Server settings. Open the 'Start' menu and select the 'Microsoft Exchange' and then 'Microsoft Exchange Administrator'. Now choose the mailbox in which the user configured an additional recipient. Select the 'Properties' option and open the 'Delivery options' tab. Choose 'Deliver messages to both recipient and alternate recipient' option. Click on 'Apply option' and then press 'OK'.
Resolve the Issues with the Rules
The Out of Office Assistant enables the user to configure various rules for the Auto Reply feature. If any of the rules is configured to stop the processing of other rules, then the Out of Office Assistant does not work on Microsoft Outlook. So the user should either stop configuring the additional rules or obtain the latest Microsoft Exchange Server service pack.
